Write good entries, bulk import Q&A, understand grounding, and use the FAQ cache.

Your knowledge base is the only content WaveAI should rely on. Treat it like a living FAQ, not a dump of your whole website.

Writing good entries

  • One clear question or topic per entry
  • Answer in plain English, with the facts a visitor needs
  • Include prices, hours and locations only when they are stable
  • Update entries when the business changes, then re-test the widget

Bulk Q&A import format

Paste plain text into the collection bulk importer. Each entry is a title line, then one or more body paragraphs, then a blank line before the next entry. No markdown markers, no hash headings, and no bold markers.

What are your opening hours?
We are open Monday to Friday, 9am to 5:30pm GMT. Weekend visits are by appointment.

Do you offer site visits?
Yes, within Greater London. Book through the contact form and we will confirm a slot.

What grounded means

Grounded answers stay attached to retrieved knowledge. If nothing relevant is found, WaveAI should not invent policy. That honesty is a feature: visitors trust you more when the assistant admits a gap and offers a human.

FAQ cache

When the FAQ cache is enabled, near-identical questions can reuse a recent good answer for a period. That keeps common FAQs fast and protects your monthly message allowance. Editing knowledge should eventually refresh what people see; after big knowledge edits, re-ask key questions yourself to confirm.

Q How many entries should I start with?

Start with 10 to 20 real customer questions. Grow from chat logs and support tickets.

Q Can I upload PDFs?

Prefer structured Q&A entries in the portal. Long PDFs are harder to retrieve cleanly than short focused answers.
